Grid City VR LLC (“Grid City VR,” “we,” “us,” or “our”) operates the venue located at 5700 W 89th Ave, Westminster, CO 80031 and the website at gridcityvr.com (the “Site”). This Privacy Policy explains how we collect, use, share, and protect personal information about visitors to our Site, guests of our venue, and people who book, enquire about, or interact with our services.

By using the Site or visiting our venue, you agree to the practices described in this Policy.

2. Information we collect

We collect the following categories of personal information.

Information you provide directly

  • Name, email address, and phone number (from booking forms, enquiry forms, waitlist sign-ups, and the exit-intent popup on our Site)
  • Booking details (party size, date, time, experience selected, special requests, occasion)
  • Payment information (processed by our third-party payment processor — we do not store full card numbers on our systems)
  • Age or date of birth where required (for example, for activities with age restrictions or to verify legal drinking age)
  • Liability-waiver information signed on-site (name, signature, emergency contact, and related details — collected under our on-site waiver, which has its own terms)
  • Communications you send us (emails, SMS replies, reviews, social-media messages)

Information we collect automatically on the Site

  • Device and browser information (IP address, browser type, operating system, referring URL, pages viewed, time spent on pages)
  • Cookie and tracking-technology data (see Section 8)
  • Interaction data with the exit-intent popup and other on-page elements

Information from third parties

  • Booking and CRM data from Roller, our booking and point-of-sale provider
  • Analytics data from services such as Google Analytics and advertising platforms (for example, Meta)
  • Reviews and social-media content you post that mentions or tags us
  • Information from partners or promoters who refer you to us (for example, if you redeem a group or corporate booking)

On-site information

  • CCTV footage for safety and security inside the venue (signage is posted where CCTV is in use)
  • Photos or video recorded at the venue that may include your image (see Section 6)

3. How we use your information

We use personal information for the following purposes:

  • To provide our services — confirm and manage your bookings, check you in, run the experiences you booked, process payments, handle refunds and rescheduling, and provide customer support.
  • To communicate with you about your booking — send booking confirmations, reminders, changes, cancellations, and post-visit follow-ups. These are transactional messages tied to your booking and are not marketing.
  • For marketing (with the consents described in Section 4) — send promotional emails and SMS about events, leaderboards, new experiences, member offers, and venue news.
  • To personalise your experience — remember preferences, recognise returning guests, tailor offers.
  • To operate and improve the Site and venue — analytics, performance monitoring, debugging, product development, and improving marketing.
  • For safety and security — CCTV, incident response, preventing fraud and abuse, enforcing our Terms of Service and on-site rules.
  • For legal and compliance reasons — tax, accounting, responding to lawful requests, protecting our legal rights.

4. Marketing communications — email and SMS

Email marketing. If you book with us, enquire about our services, or otherwise give us your email, we may send you marketing emails about Grid City VR in line with applicable law (including the federal CAN-SPAM Act). Every marketing email we send will identify us, disclose that it is an advertisement where required, include our physical address, and give you a one-click way to unsubscribe. You can also opt out at any time by emailing us at info@gridcityvr.com. Unsubscribing from marketing will not stop transactional messages about your bookings.

SMS marketing. We only send marketing SMS to people who have given us prior express written consent specifically for marketing texts. When we collect this consent, the opt-in is separate from any other agreement, is not a condition of booking or purchase, and clearly discloses:

  • That you will receive recurring automated marketing messages from Grid City VR
  • The approximate message frequency
  • That message and data rates may apply
  • How to opt out (reply STOP) and how to get help (reply HELP)
  • A link to this Privacy Policy and to our SMS Terms

You can opt out of marketing SMS at any time by replying STOP to any message. Opting out of marketing SMS does not stop transactional SMS tied to a specific booking if you have consented to those separately.

We do not sell your phone number or email address, and we do not share them with third parties for those third parties’ own marketing.

5. How we share information

We share personal information only as described below.

Service providers that operate on our behalf, including:

  • Roller — bookings, point-of-sale, and CRM
  • Webflow — website hosting and forms
  • Payment processors
  • Email-marketing and SMS-marketing platforms
  • Analytics providers (for example, Google Analytics)
  • Advertising platforms (for example, Meta/Facebook), subject to your choices in Section 8
  • Customer-support and review-management tools

These providers may only use your information to perform services for us and are contractually required to protect it.

Legal and safety sharing. We may disclose information when we believe in good faith that it is necessary to comply with law, respond to lawful requests, enforce our agreements, protect the safety of guests, staff, or the public, or protect our legal rights.

Business transfers. If Grid City VR is involved in a merger, acquisition, financing, or sale of assets, personal information may be transferred as part of that transaction. We will notify you where required.

With your consent. We may share information in other ways you specifically consent to.

We do not sell personal information for money. See Section 7 for how we treat “sales” and “targeted advertising” under Colorado law.

6. Photography and video at the venue

Our venue is a social and entertainment space, and we regularly capture photos and video inside the venue for marketing, social media, and promotional use. By entering the venue, you acknowledge that you may appear in photos or video that we capture, use, and publish. If you do not want to appear in marketing content, please let a staff member know on arrival and we will do our best to accommodate you. More detail is in our Terms of Service.

7. Your privacy rights

7.1 Colorado residents (Colorado Privacy Act)

If you are a Colorado resident, you have the following rights, subject to verification and legal exceptions:

  • Right to access — request confirmation of whether we process your personal data and access to that data.
  • Right to correct — request correction of inaccurate personal data.
  • Right to delete — request deletion of personal data we hold about you.
  • Right to data portability — request a portable copy of personal data you provided to us.
  • Right to opt out — opt out of the processing of your personal data for (a) targeted advertising, (b) the sale of personal data, and (c) certain types of profiling. You may exercise this right by contacting us at info@gridcityvr.com or by using the cookie/advertising controls described in Section 8. We also honour recognised universal opt-out mechanisms (for example, the Global Privacy Control signal) as required by Colorado law.
  • Right to appeal — if we deny a rights request, you may appeal by replying to our response or emailing info@gridcityvr.com with the word “Appeal” in the subject line. If we deny the appeal, you may contact the Colorado Attorney General at coag.gov.

7.2 Other states

We extend the same core rights — access, correction, deletion, opt-out of targeted advertising, and opt-out of “sale” — to residents of other U.S. states where applicable law grants equivalent rights.

7.3 Do Not Track

Some browsers send a “Do Not Track” signal. Because there is no common industry standard for how to interpret that signal, our Site does not respond to Do Not Track. We do honour recognised universal opt-out signals (such as Global Privacy Control) as described above.

8. Cookies, analytics, and advertising

Our Site uses cookies and similar technologies for:

  • Strictly necessary purposes — making the Site work, remembering your session, form security.
  • Analytics — understanding how the Site is used so we can improve it (for example, Google Analytics).
  • Advertising — showing you relevant Grid City VR ads on other sites and platforms (for example, Meta/Facebook advertising pixels) and measuring the performance of those ads.

You can manage cookies through your browser settings and through our cookie banner where one is displayed. You can opt out of targeted advertising through:

  • Industry opt-out pages such as the Digital Advertising Alliance (optout.aboutads.info) and the Network Advertising Initiative (optout.networkadvertising.org)
  • Platform-specific ad settings (for example, within your Meta or Google account)

9. Children

Our Site and services are not directed to children under 13, and we do not knowingly collect personal information from children under 13 online. Minors may visit and participate at our venue where permitted, but bookings, payment, and waivers must be handled by a parent or legal guardian where required. If you believe a child under 13 has provided us with personal information online, contact us and we will delete it.

10. Data retention

We keep personal information only for as long as we need it for the purposes described in this Policy, to comply with legal and tax obligations, to resolve disputes, and to enforce our agreements. Retention periods vary by data type — for example, booking and payment records are kept for accounting and tax purposes, while marketing contact data is kept until you opt out or ask us to delete it.

11. Security

We use reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorised access, disclosure, alteration, and destruction. No method of transmission over the internet or electronic storage is 100% secure, and we cannot guarantee absolute security.

12. Third-party links

The Site may link to third-party sites or platforms (for example, Instagram, TikTok, Roller booking pages). Those third parties have their own privacy policies, which we do not control. We encourage you to read them.

13. Changes to this Policy

We may update this Privacy Policy from time to time. When we do, we will post the updated Policy here and update the “Last updated” date above. If the changes are material, we will provide additional notice (for example, by email or a Site banner). Your continued use of the Site or the venue after the effective date of an updated Policy constitutes acceptance of the updated Policy.
